Department: Office of the Vice Chancellor
Reports to: Assistant Director, Office of the Vice Chancellor; and Senior Officer, Office of the Vice Chancellor
Positions reporting to this position: None

Purpose:
To enhance the effectiveness of the Office of the Vice Chancellor by providing information, management support and service.

Main responsibilities:

  • Drafting and processing the incoming and outgoing memos, reports, orders and circular related to the Vice Chancellor’s office;
  • Data entry and data processing (as applicable);
  • Opening, keeping and updating records and filing of the Vice Chancellor’s initiatives;
  • Maintaining internal and external stakeholder confidence and projects operations by keeping information confidential;
  • Managing and keeping records of all relevant and important academic and administrative activities of the office;
  • Maintaining the budget for assigned projects;
  • Maintaining cordial working relationships with all stakeholders as/when appropriate.

Other responsibilities:

  • Providing support to arrange large events organized by the VC Office;
  • Performing other related duties as assigned by the Assistant Director, Office of the Vice Chancellor; and Senior Program Officer, Office of the Vice Chancellor.

Key relationships:

  • Internal professional relationships: maintains liaison with other departments/schools/employees within the University; maintains relationships with colleagues within the Office of the Vice Chancellor
  • External relationships: maintains professional relationships (on behalf of the Vice Chancellor) with various agencies/organizations/individuals in Bangladesh seeking appointment, etc.

Education:

  • Required: Master's degree from a reputed university;  CGPA of 2.50 or above (on a 4-point scale)
  • Desirable: Master’s in any discipline with a CGPA of 2.50 or above (on a 4-point scale).

Experience:

  • Required: Minimum of 1-2 years of administrative work experience
  • Desirable: Experience of administrative support in higher educational institutions
  • Experience and criteria may be relaxed in case of deserving candidates.

Special Knowledge and skills:

  • Required: Understanding of organization-related issues; computer proficiency in Windows environment; excellent time-management, self-management, organizational, communication and problem-solving skills; ability to complete multiple tasks and high volume of work; mature and professional attitude and appearance; openness to continue learning and upgrade skills; English language proficiency in reading, writing and speaking.
  • Desirable: Logistical skills for office administration and management (including, but not limited to, administrative writing skills, reporting skills, supply management, scheduling, Microsoft Office skills, equipment maintenance, and travel logistics).
